Overview

These Booking Terms & Conditions explain how Origin Roads accepts reservations, confirms departures and manages participation on small-group journeys. They are written in plain language so that travellers can understand the process before committing to a booking.

By placing a booking, paying a deposit or travelling with Origin Roads, you agree to these terms as well as the information shown on the relevant journey page, itinerary and invoice.

Booking process

Reservation request

A booking begins when a traveller submits an enquiry, confirms the chosen departure and receives written acknowledgement from Origin Roads. Availability is not guaranteed until the reservation is confirmed in writing.

Confirmation

Once availability is confirmed, we issue a booking confirmation and payment request. The booking becomes active when the required deposit or full payment is received by the due date shown on the invoice.

Traveller details

  • Travellers must provide full legal names exactly as shown on passports.
  • Emergency contact information may be requested before departure.
  • Special requests are noted and passed on where possible, but cannot be guaranteed unless confirmed in writing.

Payments & pricing

Deposit and balance

Unless otherwise stated, a deposit is required to secure a place and the remaining balance is due before departure. Due dates appear on the booking confirmation and invoice.

What the price includes

The journey price includes only the services expressly listed on the itinerary or journey page. Items not listed as included are treated as excluded.

Pricing changes

If a journey price changes before a booking is confirmed, the updated price applies. Once a booking is confirmed, we will only amend the price where a clear error occurred or a tax, government fee or supplier charge changes in a way that materially affects the departure.

Changes & cancellations

Traveller cancellations and refunds are governed by the separate Cancellation & Refund Policy. If a traveller requests a date change, name change or transfer, Origin Roads will review the request case by case and confirm whether the requested change is possible.

  • Minor itinerary adjustments may occur where weather, local conditions, safety or supplier operations require them.
  • If a major pre-departure change becomes necessary, we will notify affected travellers as soon as reasonably possible.
  • Equivalent substitutions may be used where a hotel, host or activity becomes unavailable.

Traveller responsibilities

Documents and health

Travellers are responsible for passports, visas, vaccination requirements, insurance and any destination-entry rules. We recommend comprehensive travel insurance that includes cancellation, medical and baggage cover.

Fitness and suitability

Travellers should review the trip description carefully to ensure the pace, climate and transport style are suitable for them. Any mobility, dietary or medical considerations should be disclosed early so we can advise whether the trip is a suitable fit.

Participation

Origin Roads reserves the right to refuse participation or remove a traveller from a journey if their behaviour creates a risk to themselves, the group, local hosts or the operation of the trip.

Liability & conduct

Travel involves variables outside the control of any operator, including weather, transport disruption, illness, political events and supplier issues. Origin Roads will always try to respond practically and responsibly, but cannot eliminate all travel risk.

Origin Roads acts as the organiser of the journey and may rely on local suppliers, transport providers, accommodation partners and activity partners. To the fullest extent permitted by law, our liability is limited to the travel services we directly provide or arrange.

  • We are not responsible for personal belongings, independent traveller decisions or losses caused by events beyond reasonable control.
  • Any complaint should be raised during the journey where possible, so that we have a fair opportunity to resolve it.
  • Photos or testimonials shared voluntarily by travellers may be used for marketing unless the traveller asks us not to use them.
