Overview

This Cancellation & Refund Policy explains what happens if a traveller cancels, if a departure is affected by operational changes, or if a supplier issue interrupts part of the journey.

Because Origin Roads works with accommodation partners, transport providers and local hosts, some costs become committed in stages as a departure approaches. For that reason, refunds depend largely on the timing of the cancellation and the costs already committed to the trip.

Traveller cancellation

All cancellation requests must be sent in writing by email or through the booking contact address used for the reservation. The effective cancellation date is the date the written notice is received.

The exact refund amount, if any, will be confirmed after review of committed supplier costs, already-issued tickets, special arrangements and any re-sale of the cancelled place.

Company cancellation

If Origin Roads must cancel a departure before it starts for operational, safety or minimum-group reasons, travellers will be offered one of the following where possible:

  • a transfer to another suitable departure,
  • a travel credit for future use, or
  • a refund of sums paid to Origin Roads for the unused trip services.

Where external costs have already been paid directly by the traveller to third parties, such as flights, visas or insurance, those costs remain the traveller’s responsibility unless the third party agrees otherwise.

Transfers & credits

A traveller may request to move to another departure instead of cancelling. If the request is made early enough and operationally possible, we will try to accommodate it. Any price difference, administrative cost or supplier fee will be confirmed before the transfer is finalised.

Travel credits, where offered, are normally valid for a limited period and may be applied only to eligible Origin Roads departures.

Non-refundable items

Some trip elements become non-refundable once booked. These may include:

  • private room upgrades or one-off custom arrangements,
  • special event or permit costs,
  • supplier payments that cannot be recovered,
  • bank or transfer fees already incurred, and
  • third-party services not paid directly to Origin Roads.

Refund timing

If a refund is approved, it will normally be returned to the original payment method within a reasonable administrative period after the amount has been calculated and any supplier reconciliation has been completed.

The fastest way to preserve options is to tell us early. Even when a refund is limited, early notice can improve the chances of a transfer, credit or recovery from suppliers.

This policy should be read together with the Booking Terms & Conditions and any journey-specific booking notes issued for a particular departure.
